Position Summary:

The Office of Academic Affairs performs university-wide leadership and coordination of CU's academic and research programs. In collaboration with campus executives, the office coordinates the development and review of academic programs for board and state agency approval and serves as liaison to faculty governance groups. The office also oversees the Coleman Institute for Cognitive Disabilities whose mission is to catalyze and integrate advances in science, engineering and technology to promote the quality of life and independent living of people with cognitive disabilities.

The OAA Working Retiree is part of the University of Colorado System Office of Academic Affairs (OAA). The office provides leadership and support in the pursuit of excellence in teaching, learning, research, creative work and service by advancing the academic agendas of CU's campuses, upholding the principles of academic freedom, and fostering a diverse and inclusive community.

The OAA Working Retiree position will utilize institutional knowledge to provide support and coordination to critical operations within the OAA business unit. While the position reports officially to the Vice President of Academic Affairs (VPAA), the Director of Academic Program & Policy Analysis (DAPPA) and the Program Manager (PM) in OAA directly oversee the projects that the position will support, so the person in this role will interact meaningfully with multiple team members. The Working Retiree position is exempt from the State of Colorado Classified Staff System.

Where You Will Work:

Hybrid - this role is eligible for a hybrid schedule, working some days from home and some days in office.

Duties & Responsibilities:

Duties and responsibilities of this part-time role include, but are not limited to:

System scholarships management
  • With the DAPPA, lead the system scholarships meeting each October and March, and associated preparations; manage follow up items with meeting attendees and campus partners as needed.
  • Co-lead the Wells-Fargo Pre-Collegiate Scholarship selection process, including preparation of materials for the selection committee and other associated scholarship administration details.

System-wide grants and recognitions coordination
  • With the support of the PM, coordinate preparation, selection, and notification activities for OAA's fall and spring recognitions and grants (e.g., Distinguished Professorships, President's Fund for Humanities, Thomas Jefferson Award, Chase Faculty Community Service Award). This includes, but not limited to, managing the intake of nominations/proposals through an online form, coordinating selection committees, drafting and sending award letters, and award payments.
  • With support of the PM, assist the chair of the President's Teaching Scholars Program (PTSP) in carrying out fall semester activities. This includes coordinating their annual fall retreat, distributing new membership nominations, and requesting fund transfers for the Timmerhaus Fund Ambassadors Award.

Regent-related document review
  • Provide assistance with reports sent annually to the Board of Regents (e.g., Sabbatical Report, New Degree Report, Program Review Report, Post Tenure Review Report)
  • Assist the team with review of sabbatical applications and other materials prior to Board of Regent meetings (usually for February, April, and June meetings).

Office administration and operations support
  • Work closely with DAPPA and PM to resolve and respond to OAA operational action items.
  • Triage and serve as the initial point of contact for inquiries and referrals to the OAA email address.
  • This role will perform the duties listed above and, in addition, other duties as assigned as the day-to-day needs of the role may ebb and flow.

Salary: The anticipated hiring range has been established at $40.00 per hour. This is a part-time, working retiree position.

Qualifications:

Minimum Qualifications:

Please ensure your resume includes any and all relevant experience to be accurately assessed against these qualifications. You must meet all minimum requirements listed at the time of application to be considered for this role.
  • Bachelor's degree from an accredited institution of higher education or equivalent professional experience. (The educational requirement may be substituted by professional experience on a year for year basis).
  • Four (4) years of comparable professional experience in higher education, a government agency, or similar organization.

Preferred Qualifications:
  • Six (6) years of comparable professional experience in higher education, a government agency, or similar organization.
  • Familiarity with University of Colorado systems and procedures.
  • Experience working with administrative executives and faculty governance groups.
  • Familiarity with and interest in budget and HR business operations in a university environment.
  • Demonstrated success in working independently in a highly organized, detail-oriented, energetic manner.

Knowledge, Skills, and Abilities:
  • To be successful in this position, employees will need to know the following:
  • Knowledge of the University of Colorado generally, along with its systems, processes, and operations.
  • Skilled in and ability to provide administrative and operational support to multiple individuals, including high-level executives.
  • Ability to work independently and exercise judgement and problem-solving skills.
  • Skilled in collaboration, bringing a spirit of openness and enthusiasm to a small team.
  • Comfort with hosting and organizing Zoom meetings.
  • Strong written and verbal communication skills.
  • Skilled in and ability to utilize Microsoft Office and other programs such as SharePoint.
  • Ability to maintain the strictest confidentiality of records, conversations, and transactions of the office.
